SharePoint Online introduces the Touch Design mobile experience

With the new SharePoint we brought important innovations for how users interact with SharePoint sites and content on mobile devices: contemporary views, device channels, and new native apps (SkyDrive Pro apps and SharePoint Newsfeed apps). From the start, touch has been a key area of investment across all of the products in the new Office, and SharePoint is no exception. Now we’re making SharePoint even more touch friendly.

The new Touch Design mobile pages enhance the touch experience of two core SharePoint components, SkyDrive Pro and Sites. Now, when you access SharePoint Online from smaller devices-from 11-inch screens down to 4-inch-you have a new app-like experience that enables you to work your best with your documents and team sites.

Office 365 business users will see the new Touch Design pages over the next few week as we roll out worldwide.

Let’s take a closer look at how the Touch Design pages work.

SharePoint Online and the new Touch Design experience

Touch Design creates new and improved mobile browser views and experiences for SkyDrive Pro and Sites in Office 365. The app-like design, with documents displayed as big touchable tiles on the screen, was first introduced with the recently announced OWA for iPhone and iPad. With the new Touch Design pages in SkyDrive Pro and Sites, you touch tiles to view your documents, documents shared with you, or documents you follow. You can also open documents or share the URL of a document with other users using touch.

After reviewing a document or site, the next action you might want to take is share. So we made it super easy to share documents. To share a document, simply tap the share icon in the upper right (as pictured below), and then enter the recipient’s email address, the level of access (view or edit) you want to provide, and whether you require sign-in. This is the same external sharing process that has been of great value to Office 365 customers since we launched Office 365.

You can share a document (internally or externally) from the backstage view in Touch Design. To open the backstage, tap the ellipsis next to the document.

The new Touch Design pages will load by default on most devices. If you’re working on a Surface or other Windows tablet, Windows Phone, an iPhone or iPad, or an Android phone or tablet, when you land on SkyDrive Pro or Sites, the new Touch Design interface automatically appears.

Navigation

Once signed in, you can switch between SkyDrive Pro and Sites by tapping the navigation icon in the bottom left corner of the page. You may also see tiles for other components of Office 365 you subscribe to: mail, calendar, and contacts.

Tap the icon in the lower left to access the backstage, which shows tiles you can tap to reach SkyDrive Pro or Sites.

Touch Design scales to smaller devices

Touch Design was developed to scale to the optimal experience on smaller devices, from 11-inch devices down to 4-inch screens. The user experience is exactly the same for pages displayed on devices smaller than 11 inches as it is for pages displayed on 11-inch devices, which we described above. You have the same access to your documents and sites on smaller devices, too.

Microsoft introduced the SkyDrive Pro for iOS v1.0 app June 2013 enabling business users to access and view documents stored in SharePoint Online from iPhones and iPad. Our promise to deliver faster-paced, continuous innovation continues with today’s announcement of the SkyDrive Pro for iOS v1.1 app.

SkyDrive Pro for iOS v1.1 introduces a premier mobile editing experience for Office 365 for business users. The documents you work on remain in their original source location, SharePoint Online in Office 365, enabling you to work with your Word, Excel, PowerPoint, and OneNote documents – to easily keep track of them, even while on the go. To provide this kind of rich editing experience, Microsoft developed a clear connection between SkyDrive Pro for iOS and other Office-related apps (Office Mobile for iPhone, Office Web Apps, and OneNote for iPhone/iPad).

Let’s see how it all works.

View, share, and edit files stored in SkyDrive Pro from your iPhone

1.       Make sure you have both SkyDrive Pro for iOS v1.1 installed and the latest update of Office Mobile for iPhone from the App Store. Both apps now support iOS 7.

2.       Launch SkyDrive Pro for iOS and open one of your Office documents. It will launch in View mode using the embedded Quick Look iOS technology.

3.       In the upper right, select the more options button, and then select Edit. The document opens in Office Mobile for iPhone, while maintaining file integrity in-place in SharePoint Online.

4.       Make your edits, review and add comments.

5.       Save the file to SkyDrive Pro.

Select Edit to launch Office Mobile for iPhone from SkyDrive Pro for iOS on your iPhone.

View, share, and edit files stored in SkyDrive Pro from your iPad

1.       Make sure you have the latest SkyDrive Pro for iOS v1.1 installed.

2.       Launch SkyDrive Pro for iOS and open one of your Office documents. It will launch in View mode using the embedded Quick Look iOS technology.

3.       In the upper right, select the more options button, and then select Edit. The document opens in the corresponding Office Web App within the native iPad Safari browser.

4.       View and edit your Word document, present a PowerPoint presentation, or even co-author an Excel workbook. All your files are at your fingertips, managed and shared by you from your SkyDrive Pro.

5.       Save the file to SkyDrive Pro. Share with a colleague. Get work done.

 

Select Edit to launch the corresponding Office Web App on an iPad in the native Safari browser.

 

Open OneNote files from SkyDrive Pro directly to OneNote for iPhone and iPad

The OneNote for iPhone and iPad apps recently added support for Office 365. Now, in combination with this update to the SkyDrive Pro for iOS app, you can both view and edit OneNote notebooks stored in your SkyDrive Pro, natively within the iOS OneNote apps. Your notes appear the same-even rendering ink-across all your devices (Windows, Windows Phone, Android, iOS). The OneNote file remains connected to your SkyDrive Pro in Office 365, allowing you to keep track of your work notes, all in place, even on the go.

1.     Make sure you have the OneNote app installed on your iPhone or iPad.

Install OneNote for iPhone and OneNote for iPad from the App Store.

2.     In the SkyDrive Pro app, select the file from the folder view, and then select Edit.

3.     Review and add to your notebook.

4.     Save your notebook to SkyDrive Pro.

SkyDrive Pro is cloud storage for business. It’s the place where employees can store, sync, and share their files across multiple devices with ease and security. With SkyDrive Pro you can collaborate with others in real time and edit documents from virtually anywhere via a web browser using Office Web Apps. Accessing your files from multiple devices (including Windows Phone, Windows 8, iOS, and Android devices) is a cinch with native SkyDrive Pro and Office Mobile apps. Not only does SkyDrive Pro deliver the frictionless user experiences that employees expect in a file sync solution, it’s backed by a platform that provides industrial-strength content management, compliance, and content management controls. 

We’re continually improving the SkyDrive Pro service. The new SkyDrive Pro apps are now available in the Window Store and App Store. Today, we’re pleased to announce three new significant improvements to SkyDrive Pro for Office 365 business subscribers – to help you be more productive:

  • Each user now gets 25 GB of SkyDrive Pro storage space (up from 7 GB).
  • You can now increase users’ SkyDrive Pro storage beyond the default 25 GB-up to 50 GB and 100 GB.
  • With the new Shared with Me view,you can easily find documents others have shared with you.

Let’s dive into the details!

Each user now gets 25 GB of SkyDrive Pro storage space (up from 7 GB)

The default SkyDrive Pro storage space in Office 365 is now 25 GB-for both new and existing customers.

Let’s look at what that means for the overall storage for each user. With Office 365, you get 25 GB of SkyDrive Pro storage + 25 GB of  email storage + 5 GB for each site mailbox you create + your total available tenant storage, which for every Office 365 business customer starts at 10 GB + (500 MB x # of user(s)1). If you and your company have growing storage needs across your various work streams and content types, we think you’ll find Office 365 offers ample headroom on day one, at no additional cost.

1 In Office 365 Enterprise plans, only Office 365 Enterprise E1, E3, and E4 users contribute to the total available tenant storage. Kiosk workers and external users are not calculated into the equation. For small business and midsize plans, all licensed users contribute to the total available tenant storage. 

You can now increase users’ SkyDrive Pro storage beyond the default 25 GB-up to 50 GB and 100 GB

SharePoint Online admins can now increase SkyDrive Pro storage space for those individuals that need and want more than the default 25 GB of storage. You can select increases in increments, up to 50 GB or 100 GB (the current SkyDrive Pro limit), and you can adjust the storage for up to 25 users at once. The storage you allocate will come from your tenant’s overall pool of storage and you have clear visibility of how much total available tenant storage your company has to allocate to your users’ SkyDrive Pro. If you need more tenant storage, navigate to the Storage Metrics page (Site Settings a Storage Metrics) and then to Buy quota, where you can purchase more; additional storage for SharePoint Online costs $0.20USD/GB/month.

SharePoint Online admins can increase users’ SkyDrive Pro storage space from 25 GB to 50 GB and 100 GB.

With the new Shared with Me view, you can easily find documents others have shared with you

Have you ever experienced the pain of trying to locate a document or folder a colleague previously shared with you? Shared with Me eliminates the worry of finding those important items, because now they’re all visible in a single view from within your SkyDrive Pro.

The documents and folders you see in the Shared with Me view may live in someone else’s SkyDrive Pro, or they may be shared from a standard team site document library. Once they are shared with you, you have the same permissions in SkyDrive Pro that you were originally given by the person who shared the documents with you. This means you can view a document, edit it, share it, and download it, and more- all as if it were natively stored in your SkyDrive Pro.

Shared with Me appears in the left-hand navigation pane of your SkyDrive Pro under Followed Documents.

Do even more with these additional SkyDrive Pro improvements 

In the spirit of continually improving the SkyDrive Pro service, we’re also increasing the overall file upload limit in SharePoint Online to 2 GB/file and the default recycle bin retention to 90 days (up from 30 days). And we’re enabling versioning by default on newly provisioned SkyDrive Pro libraries, which saves the last ten versions, so you never lose an important document. These service improvements apply to SkyDrive Pro and to team site documents and data. We’ll give you more details about these improvements and others in an upcoming post about increased limits across SharePoint Online.
